Procurement Executive/Manager is responsible for managing an organization’s purchasing activities to ensure goods and services are acquired efficiently, cost-effectively, and in line with company policies. The role blends negotiation, vendor management, and strategic planning.

Core Responsibilities
1. Vendor Sourcing & Management
Identify, evaluate, and onboard suppliers. Maintain strong relationships with vendors to ensure reliability, quality, and competitive pricing.
2. Purchase Planning
Analyze organizational needs and forecast demand to ensure timely procurement without overstocking or shortages.
3. Cost Negotiation
Negotiate pricing, contracts, and terms with suppliers to achieve cost savings while maintaining quality standards.
4. Purchase Order Management
Create, process, and track purchase orders. Ensure accuracy in documentation and timely delivery of goods/services.
5. Market Research
Monitor market trends, pricing fluctuations, and new suppliers to make informed purchasing decisions.
6. Inventory Coordination
Work closely with inventory or warehouse teams to maintain optimal stock levels and avoid disruptions.
7. Compliance & Documentation
Ensure all procurement activities comply with company policies, legal regulations, and audit requirements. Maintain proper records of transactions and contracts.
8. Quality Assurance
Coordinate with quality teams to ensure procured materials meet required standards and specifications.
9. Risk Management
Identify potential supply chain risks (delays, price volatility, vendor issues) and develop mitigation strategies.
10. Reporting & Analysis
Prepare procurement reports, cost analyses, and performance metrics for management review.
Supporting / Strategic Responsibilities
Develop procurement strategies aligned with business goals
Implement cost-saving initiatives
Evaluate vendor performance regularly
Improve procurement processes and systems
Collaborate with finance, operations, and logistics teams
