Job Description
We are seeking a highly organized and proactive Front Office & Ad Posting Assistant to join our team. This dual-role position is the face of our company for visiting clients and the voice of our brand across digital platforms. The ideal candidate will seamlessly juggle greeting guests, managing administrative tasks, and actively managing our online classifieds, job boards, and social media advertisements.
Key Responsibilities Front Office & Administrative Duties:
- First Point of Contact: Warmly greet and welcome clients, visitors, and vendors upon arrival.
- Communications: Answer, screen, and forward incoming phone calls, and manage the general office email inbox.
- Office Management: Ensure the reception area, meeting rooms, and general office spaces are tidy and presentable.
- Logistics: Receive, sort, and distribute daily mail and deliveries.
- Inventory: Monitor and order office supplies, keeping track of inventory and restocking as needed.
- Scheduling: Assist with scheduling appointments, meetings, and maintaining the office calendar.
Ad Posting & Digital Support Duties:
- Ad Creation & Distribution: Draft, design (using basic templates), and publish daily/weekly advertisements on various platforms (e.g., Craigslist, Indeed, Facebook Marketplace, Zillow, or industry-specific portals).
- Content Management: Ensure all online listings are accurate, up-to-date, and visually appealing. Remove expired or filled listings promptly.
- Inquiry Management: Monitor incoming messages and leads generated from posted ads, responding to basic inquiries or forwarding them to the appropriate sales/recruitment team member.
- Performance Tracking: Keep a basic log of which ads are performing best and report back to management weekly.
- Database Updates: Enter new leads from ad responses into the company CRM or database.
- Requirements & Qualifications Experience: Previous experience as a Front Desk Representative, Administrative Assistant, or in a basic digital marketing/data entry role.
- Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel) and Google Workspace. Comfortable navigating multiple online job boards, classified sites, and social media platforms.
- Communication: Excellent written and verbal communication skills; ability to write clear, engaging, and typo-free ad copy.
- Organization: Strong time-management skills with the ability to multitask and prioritize tasks in a fast-paced environment.
- Attitude: A positive, customer-service-oriented mindset with high attention to detail.
- Education: High school diploma or equivalent; additional certifications in Office Management or Digital Marketing are a plus.
