Job Title: Telecalling Executive – Patient Appointments & Lead Conversion


Company: Laksha Care Clinic

Location: Arakere Gate, Panduranga Nagar, Bengaluru – 560076 Work Mode: On-site | Full Time | Day Shift, Working Days: 6 Days a week

Gender: Female Age: 20 – 32 years

Role Overview

This is a results-driven, patient-facing telecalling role. Your primary job is to call inbound leads promptly, understand their concern, build genuine rapport, create urgency, and convert inquiries into confirmed clinic appointments and walk-ins - every single day. You will be the bridge between a patient's curiosity and their first step into the clinic.

If you are warm on the call, sharp with follow-ups, and driven by daily targets - this role is for you.


Daily Targets (Non-Negotiable)

  • ✅ Minimum 6+ confirmed appointments booked per day
  • ✅ Minimum 4+ walk-ins driven per day
  • ✅ 100+ calls made daily with 2+ hours of talk time
  • ✅ All inbound leads responded to within 10-15 minutes of receipt
  • ✅ Weekly and monthly conversion reports submitted to the Marketing Manager


Key Responsibilities

1. Inbound Lead Calling & Appointment Conversion (Core Focus)

  • Call all inbound leads generated through Meta Ads, Google Ads, GMB, and walk-in enquiries - promptly and professionally
  • Understand the patient's concern (Dental / Skin / Hair), empathise, and position the right treatment or consultation
  • Create genuine urgency and guide the patient to book a confirmed appointment - same day or next day preferred
  • Handle objections around cost, timing, or hesitation with confidence and a patient, solution-focused approach
  • Ensure every lead is followed up at least 3 times before marking as unresponsive

2. WhatsApp & Multi-Channel Follow-Up

  • Proactively follow up with all unconverted leads via WhatsApp - share treatment information, offers, doctor profiles, and clinic photos as needed
  • Respond to all incoming WhatsApp enquiries within 15 minutes during working hours
  • Maintain a structured daily follow-up pipeline - no lead should go cold due to lack of follow-up

3. Pipeline Management & Record Keeping

  • Maintain accurate, up-to-date records of all calls, lead status, follow-up dates, and appointment confirmations in the CRM or tracking sheet
  • Flag high-intent but unconverted leads to the team for additional nurturing support
  • Share daily call reports: leads called, appointments booked, walk-ins confirmed, and pending follow-ups and lead quality status

4. Patient Experience & Front Coordination

  • Greet walk-in patients warmly and coordinate with the front desk for a smooth check-in experience
  • Handle basic patient queries regarding services, pricing, doctor availability, and clinic timings professionally
  • Coordinate with doctors and clinic staff to ensure appointment slots are accurate and confirmed

5. Weekly & Monthly Performance Review

  • Participate in weekly performance reviews - appointments booked, walk-ins achieved, conversion rate, and lead response time
  • Work toward monthly targets set by the Marketing Head and proactively flag challenges early
  • Continuously improve call quality, objection handling, and conversion scripts based on feedback

Required Skills & Qualifications

  • Minimum 1 year of experience in telecalling, tele-sales, patient coordination, or customer service (clinic/hospital experience strongly preferred)
  • Fluency in English is mandatory; proficiency in Kannada is essential; Hindi and other regional languages are an added advantage
  • Confident verbal communication with strong listening and objection-handling skills
  • Basic computer skills - MS Excel, WhatsApp Business, and CRM/Google Sheets
  • Pleasant, presentable, and patient-friendly attitude at all times
