Tour Operations Executive

We are seeking a detail-oriented and proactive Tour Operations Executive to join our dynamic team. The ideal candidate will be responsible for the seamless execution of our photography tours and workshops, ensuring exceptional client experiences from inception to completion. This role requires a blend of operational expertise, customer service excellence, and a passion for travel and photography.

Key Responsibilities:

• Tour Planning and Coordination:
• Collaborate with the Product and Sales teams to develop and finalize tour itineraries tailored to photography enthusiasts.
• Coordinate with vendors and suppliers, including accommodations, transportation providers, and local guides, to secure necessary services.
• Ensure all logistical arrangements align with the company's quality standards and client expectations.
• Client Relationship Management:
• Serve as the primary point of contact for clients post-booking, addressing inquiries and providing comprehensive pre-tour information.
• Manage rooming lists, special requests, and ensure all client preferences are communicated to relevant parties.
• Collect and analyze client feedback to continually enhance tour experiences.
• Operational Execution:
• Oversee the on-ground execution of tours, ensuring all components proceed as planned.
• Handle unforeseen issues or emergencies during tours, providing prompt resolutions to maintain client satisfaction.
• Maintain up-to-date knowledge of travel regulations and industry trends to inform operational decisions.
• Financial Management:
• Assist in budgeting and cost control for tours to ensure profitability.
• Process supplier invoices and collaborate with the Finance team to ensure timely payments.
• Prepare client invoices and manage payment schedules.
• Documentation and Compliance:
• Ensure all tour-related documentation, including contracts, itineraries, and vouchers, are accurately prepared and distributed.
• Maintain records in compliance with company policies and industry regulations.
• Participate in emergency cover rotations, operating outside standard office hours as required.
• Strong organizational and multitasking skills with exceptional attention to detail.
• Excellent verbal and written communication skills.
• Proficiency in travel booking systems and Microsoft Office Suite.
• Ability to work flexible hours, including weekends and holidays, as per tour schedules.
• Passion for travel and photography is highly desirable.

Preferred Skills:

• Experience in managing
• Familiarity with destinations known for wildlife, culture and heritage
• Proficiency in additional languages is an advantage.
