Job Description: CAFM Administrator
Position Overview
JLL is seeking a detail-oriented CAFM (Computer-Aided Facility Management) Administrator to manage and optimize our facility management systems. This role is critical in ensuring accurate data management, system configuration, and reporting to support efficient facility operations and strategic decision-making.
Key Responsibilities
System Administration & Management The CAFM Administrator will maintain and configure CAFM software platforms, ensuring system integrity, accuracy, and optimal performance. This includes managing user access rights, creating custom workflows, and implementing system updates in coordination with IT and vendor support teams.
Data Management & Quality Assurance Responsibilities include maintaining comprehensive facility data including floor plans, space allocations, asset inventories, and occupancy information. The administrator will conduct regular data audits, resolve discrepancies, and ensure data accuracy across all integrated systems. This role requires establishing data governance protocols and maintaining documentation standards.
Reporting & Analytics The position involves generating regular and ad-hoc reports for stakeholders, including space utilization analyses, asset lifecycle reports, maintenance metrics, and occupancy dashboards. The administrator will develop custom reports and KPIs that support facility management objectives and client requirements.
Technical Support & Training Provide technical support to CAFM system users, troubleshoot issues, and coordinate with vendors for complex problems. Develop training materials and conduct training sessions for new users and system updates. Serve as the primary point of contact for system-related inquiries.
Process Improvement & Integration Identify opportunities for system optimization and process improvements. Support integration efforts between CAFM and other business systems including IWMS, BMS, and financial platforms. Participate in system upgrades and implementation of new modules or functionality.
Stakeholder Collaboration Work closely with facility managers, engineering teams, real estate professionals, and clients to understand requirements and deliver solutions that meet operational needs. Translate business requirements into system configurations and workflows.
Required Qualifications
Education & Experience Bachelor's degree in Facility Management, Information Systems, Engineering, or related field, or equivalent work experience. Minimum 2-3 years of experience administering CAFM or IWMS platforms in commercial real estate or corporate facility management environments.
Technical Skills Strong with major CAFM/IWMS platforms such as, IBM TRIRIGA similar systems. Strong database management skills and understanding of relational database concepts. Intermediate to advanced proficiency in Microsoft Excel including pivot tables, formulas, and data analysis. Experience with CAD software (AutoCAD, Revit) and ability to work with floor plans and space data. Familiarity with BIM (Building Information Modeling) concepts is advantageous.

Excellent organizational skills with ability to manage multiple priorities. Clear communication skills for both technical and non-technical audiences. Customer service orientation with ability to support diverse user groups.
Preferred Qualifications
Previous experience in commercial real estate or corporate facility management environments. Knowledge of facility management best practices and industry standards (IFMA, RICS). Experience with SQL queries and report writing. Familiarity with space planning principles and workplace strategies. Understanding of asset management and preventive maintenance workflows. Project management experience related to system implementations or upgrades.
Working Conditions
This position typically operates in an office environment with standard business hours, though flexibility may be required to support system maintenance windows or urgent issues. The role involves significant computer work and may require occasional site visits to client facilities for data verification or training purposes.
