The Legal Assistant is a member of the POSH Internal Committee (IC). They will provide dedicated administrative, procedural, and governance support to the IC under the Prevention of Sexual Harassment (POSH) framework. This role requires maintaining the confidentiality of all matters related to POSH, which can only be discussed and disclosed within the IC or otherwise as necessary to complete a full and fair investigation. The Legal Assistant manages end-to-end case coordination, documentation integrity, regulatory timeline adherence, and confidential recordkeeping. The Legal Assistant is also part of the POSH inquiry committee and attends witness interviews and other POSH meetings/proceedings, ensures accurate documentation and recording protocols, coordinates directly with complainants, respondents, and witnesses, and maintains strict compliance with statutory requirements. As described below, the Legal Assistant will also provide assistance with other matters within, and as directed by, the Legal department.
Responsibilities
- POSH Case Administration & Documentation Governance •Serve as IC member •Central administrative coordinator for all POSH IC cases •Schedule and coordinate interviews, hearings, and committee meetings •Attend all interviews and IC proceedings to manage recording protocols and detailed documentation •Maintain secure and confidential case files (digital and physical) •Track statutory timelines to ensure compliance with POSH Act requirements •Prepare and distribute formal notices, meeting documentation, and outcome communications as directed by the IC. •Update and manage POSH complaint and status tracker •Coordinate with POSH external member
- Confidentiality & Regulatory Compliance: •Ensure all documentation aligns with statutory requirements and internal policy •Maintain a centralized tracker of complaints, case status, and resolution outcomes •Support preparation of annual POSH compliance reporting. •Partner with HR and Legal to ensure procedural integrity and risk mitigation •Support audits and internal reviews as required
- Stakeholder Coordination: •Act as administrative liaison between IC members, HR, Legal, and impacted employees •Communicate professionally and neutrally with complainants and respondents regarding procedural steps •Support POSH awareness initiatives and training logistics
- Process & Continuous Improvement: •Identify opportunities to enhance case tracking and documentation workflows •Recommend administrative process improvements to strengthen governance rigor
- Other Organization and Administrative Functions: •Maintain and organize legal process handbooks, playbooks, commercial templates and clauses •Manage legal files •Manage matter trackers and calendars as necessary •Calendar timelines and coordinate with responsible lawyers as necessary •Organize and manage legal vendor invoices and track matter expenses from intake through payment •Other job duties as may be assigned within the legal department from time to time
Qualifications
- - Required
- 4 years of experience in compliance administration, HR, legal support or goverance environment.
- • Demonstrated experience handling highly sensitive and confidential information. • Strong documentation and investigative minute-taking skills. • Familiarity with regulatory compliance processes; knowledge of the POSH Act preferred. • Excellent written and verbal communication skills. • Ability to manage multiple sensitive cases under strict timelines. • Absolute discretion and integrity • Emotional resilience and professional composure • Neutrality and sound judgment • Strong attention to detail • Strong organizational discipline • Ability to operate independently in high-sensitivity environments Confidentiality Requirement: Due to the sensitive nature of this role, the selected candidate will be required to execute a formal confidentiality agreement and adhere to strict data privacy and information security protocols. Unauthorized disclosure of case-related information will result in disciplinary action, up to and including termination.
