Job Summary

Job Responsibilities

  1. Manage Activities as Executive Assistant (Calendar Management, Travel and Expense management)
  • Manage meetings and efficient calendar management (Optimize time for various meetings, proactively manage meeting conflicts)
  • Domestic and Internal travel – coordinating for ticket/cab/Forex/Insurance/Visa for Director and Head BEC, Head HR and BEC Staff.
  • Expense on timely basis – Claim/reimbursement of all expenses for BEC, Director and HR Head.
  • Facilitate logistics (Travel, Stay & Meeting) of EMC member and GTA visitors of BEC, preparation of agenda ahead of the visit
  1. Dashboard
  • Collect all the data and prepare monthly BEC dashboard and presentation.
  • Prepare monthly reports for GR&D by 30th of every month
  • Prepare ppt for BEC MIS meetings by 7th of every month
  • Monthly update of ARPL BEC Board to Excellence Metrics before 7th of every month.
  1. Onboarding of New Joinees and Events Management
  • Support for setting up departmental events like Apo-connect, Check-in with New Joinees, offsite events, with respect to meeting logistics.
  • Allocation and management of onboarding Kit/Stationery and seating arrangement with desktop/laptop in coordination with IT and Admin.
  1. Purchase, Invoice and Finance Management
  • PR creation for BEC
  • Coordinate for PR approval from L1 or L0 depending upon the amount
  • Check and track of all invoices related to BEC,
  • Coordinate for approval and submission to finance
  • Support in preparation, tracking, review of Budget
  • Track and coordinate for conveyance, and OT for BEC staff
  1. Stationary Management & Third party vendor coordination
  • Purchase monthly stationery on the basics of the requirements.
  • Maintaining a detailed master sheet for all the requirements with the price.
  • Coordinate for salaries of contract associates, OnCall doctors and nurses. Track attendance leave and OT details.
  • Ensure salary is credited to contract associates by 1st of every month.

    • An effective time Manager with the ability to Multitask .
  • Experience
    • Worked as a Executive Assistant  in DXC (Hewlett-Packard Enterprises ) from 6th Nov 2017 to 31 -Jan-2019
    • Worked as a Facility Co-Ordinator in Oracle India Private Limited ( prestige Tech park ) Near J.P Morgan , Bangalore from 26th October 2015 to 4th Nov 2017.
    • Worked as a Admin Executive / Counselor in Appin Technology Lab in Guwahati from September 2014 to 15th October 2015.
    • Worked as a Counselor / Admin Executive in NIIT ( Guwahati ) from July 2012 to 30th August 2014.
