Job Description
We are seeking a reliable, organized Office Assistant to oversee day-to-day clerical operations. In this role, you will act as a primary point of contact for visitors, manage incoming and outgoing communications, maintain physical and digital filing systems, and ensure the office remains fully stocked and orderly. The ideal candidate possesses excellent communication skills, strong attention to detail, and proficiency with standard office software.
Core Responsibilities
- Communication Management: Answer, screen, and route incoming phone calls while taking clear, detailed messages. Manage the general company email inbox and respond to routine inquiries.
- Visitor Reception: Greet clients, guests, and vendors with professionalism, manage the guest sign-in log, and guide visitors to their designated meeting spaces.
- Mail & Logistics: Sort and distribute daily mail, courier deliveries, and incoming packages. Prepare outgoing mail and coordinate shipping logistics.
- Scheduling & Calendars: Coordinate staff appointments, manage shared organizational calendars, book conference rooms, and help organize internal company events.
- Documentation & Filing: Perform accurate data entry into company databases. Draft, format, proofread, and copy internal memos, correspondence, and status reports. Maintain organized physical and electronic filing structures.
- Inventory Control: Monitor office supply levels, restock common break rooms or stationery areas, and place replacement orders before essential items run out.
