Job Description

We are looking for a highly organized, proactive, and dedicated Executive Assistant to the Director to provide administrative and operational support in a fast-paced manufacturing environment. The ideal candidate should be excellent in MS Office, possess strong communication skills, and demonstrate exceptional follow-up abilities. This role involves managing the Director’s schedule, handling email correspondence, coordinating with internal teams, and ensuring smooth day-to-day operations. Key Responsibilities Schedule & Calendar Management • Maintain and manage the Director’s daily calendar, appointments, meetings, and travel schedules. • Coordinate internal and external meetings and ensure timely reminders and preparation of relevant materials. Email & Communication Management • Manage the Director’s email inbox efficiently. • Draft and respond to emails when required. • Prioritize important communications and ensure prompt follow-ups. Follow-ups & Coordination • Track ongoing tasks, commitments, and deadlines. • Ensure strong and consistent follow-ups with internal departments, vendors, and business partners. • Maintain records of discussions, action points, and pending matters. Administrative Support • Prepare presentations, reports, and documents using MS Office (Word, Excel, PowerPoint, Outlook). • Maintain organized documentation and records. • Assist in preparing meeting notes and tracking action items. Operational Assistance • Coordinate with various departments within the manufacturing company to ensure smooth communication and execution. • Assist the Director with research, data collection, and preparation of business documents when required. Required Skills & Qualifications • Minimum 2 years of work experience in an administrative or executive assistant role. • Excellent proficiency in MS Office (Word, Excel, PowerPoint, Outlook). • Very fluent in English with strong verbal and written communication skills. • Strong organizational and time management skills. • Exceptional follow-up and coordination ability. • Ability to handle confidential information with professionalism. • Eagerness to learn, proactive attitude, and dedication to work.
