Job Description
We are looking for a detail-oriented, tech-savvy individual to handle our day-to-day ERP software operations, dealer communication, and complaint tracking. This is a critical role that sits at the intersection of operations and customer support — you will be the person who keeps our internal records accurate and ensures our dealers are heard and responded to quickly.
This is an excellent opportunity for someone early in their career who wants to grow with a scaling business and take ownership of real responsibilities from day one.
Key Responsibilities:
1. ERP & Stock Management
- Maintain accurate stock records in our ERP system (ERPNext) on a daily basis
- Record all inward purchases against purchase orders/bills promptly
- Log breakages and sampling as they occur so stock levels are always correct
- Coordinate with the godown/dispatch team to reconcile physical stock vs. system stock
- Flag discrepancies and escalate to management with clear notes
2. Dealer Communication & PDF Management
- Create product pricelists, offers, and scheme PDFs for dealer distribution
- Update existing PDFs whenever prices or product details change
- Send PDFs and updates to the dealer network via WhatsApp / email in a timely manner
- Maintain an organised folder/archive of all outgoing dealer communications
3. Complaint & After-Sales Tracking
- Log all sanitaryware complaints received from dealers or end customers
- Follow up with the relevant internal team or supplier for resolution status
- Update dealers on complaint progress and close the loop once resolved
- Maintain a complaint tracker with dates, status, and resolution notes
4. Online & Incoming Query Handling
- Monitor and respond to leads and queries coming in through online channels (website, IndiaMART, social media, etc.)
- Collect basic details from prospects and route to the sales team with a clear summary
- Ensure no query goes unanswered beyond the same business day
5. Dealer Query Support
- Be the first point of contact for dealer queries related to orders, stock, pricing, and dispatch status
- Check the ERP system for order/delivery status and provide accurate updates
- Escalate complex queries to the relevant person immediately while keeping the dealer informed
- Maintain a professional, helpful tone in all dealer interactions
