Warehouse Supervisor

Key Responsibilities:

1. Inventory Management

• Maintain real-time stock of:

• Roasted coffee (batch-wise)
• Packaging materials (cups, lids, cutlery, boxes, etc.)
• Retail products

• Ensure proper storage and organization of all items
• Implement FIFO, especially for coffee

Common Sense Expectations

• Physical stock must always match system stock
• Everything should have a designated place
• No loose, untracked inventory

2. Indent & Stock Allocation (Cafés)

• Receive stock requests from cafés
• Validate based on past consumption (avoid over-issuing)
• Prepare and release stock accordingly
• Coordinate dispatch with fulfilment team

Common Sense Expectations

• Don’t blindly approve all requests
• Balance between stock availability and usage trends
• Communicate clearly with café teams

3. Stock Planning & Forecasting

• Track usage trends across cafés and online
• Forecast weekly requirements for:
• Coffee roasting
• Packaging materials
• Raise purchase/production requests in advance

Common Sense Expectations

• Think ahead—never operate in “last-minute mode”
• Always maintain buffer stock for critical items

4. Vendor Management

• Coordinate with suppliers for:
• Packaging materials
• Inventory items
• Raise purchase requests and follow up on deliveries
• Track vendor timelines, pricing, and consistency
• Maintain vendor records

Common Sense Expectations

• Follow up regularly—don’t wait for vendors
• Flag delays early before they impact operations
• Build reliable vendor relationships

5. Audits & ControlDaily reconciliation (physical vs system stock)

• Weekly audits of key items
• Identify stock variances and resolve them
• Maintain clean audit trails

Common Sense Expectations

• No “approximate” numbers—everything must be exact
• Investigate mismatches immediately

6. Warehouse Discipline

• Ensure clean, organized storage at all times
• Label racks, sections, and items properly
• Maintain smooth movement of goods (no clutter)

Requirements:

• Strong attention to detail and numerical accuracy
• Comfortable with Excel / Google Sheets
• Prior experience in inventory / warehouse / operations preferred
