Billing Executive

1. Garment Intake & Inspection

Responsibilities: Receive garments/items from customers at store or pickup handover

Physically inspect each item thoroughly before processing

Check for: Stains, Tears/rips ,Missing buttons/zips, Fabric damage, Color fading, Shrinkage risk, Embroidery/delicate work

Identify pre-existing damage and record observations

Inform customer of garment condition before processing

Take approval for high-risk garments if required

2. Garment Identification & Categorization

Responsibilities: Identify garment type: Shirt,Saree,Lehenga,Suit,Blazer,Shoes,Bags,Curtains,Carpets etc.

Categorize items based on:

Service type:

Dry clean

Steam iron

Wash & fold

Premium laundry

Shoe cleaning etc.

Cleaning priority:

Express

Standard

Premium care

3. Item Tagging & Barcode Management

Responsibilities: Tag each garment/item with unique identifier

Attach barcode/QR tags safely

Ensure proper item count mapping

Avoid mismatching or item loss

Print and attach service labels

Maintain tagging accuracy throughout workflow

Garment Tracking, Inventory control, Loss prevention, Dispatch accuracy

4. Order Creation & Billing

Responsibilities:

Create customer orders in software/POS

Add: Customer details, Item count, Service type, Special instructions, Delivery timelines, Generate invoices/bills accurately, Apply pricing rules and offers, Add express charges if applicable, Ensure GST/tax compliance in billing

Handle split billing if required

Additional Tasks:

Edit/update bills when customer modifies order

Recalculate pricing if services change

Add/remove items from existing orders

Operate laundry management software daily

5. Customer Front responsibility

Responsibilities:

Share bills/invoices via:

WhatsApp

Send order confirmations

Inform customers about: Delays,Additional stain treatment charges,Approval requests,Delivery timelines

Handle customer queries and grievances politely

Coordinate approvals for:

High-value garments

Unremovable stains

Damage-risk items

Important: This role directly impacts customer experience.

6. Order Forwarding & Workflow Coordination

Responsibilities:

Forward processed orders to:

Laundry plant

Dry-cleaning facility

Ironing section

Packaging team

Coordinate with logistics/riders for pickups & deliveries

Ensure items move to correct workflow stages

Update system statuses regularly

Operational Flow Managed:

Store → Processing → QC → Packaging → Dispatch

Generate payment receipts

Escalate major issues to management

Coordinate reprocessing/rework
