Job Description
The Office Manager will serve as the operational backbone of both business verticals.
This is a full-time, on-site role that demands a highly organized, proactive, and people-savvy individual who can manage day-to-day office operations, coordinate with technical teams, and ensure the smooth and efficient running of the workplace across both divisions.
This is a leadership role that requires someone who is calm under pressure, firm in their approach, yet approachable and empathetic in their dealings with the team.
Key Responsibilities
1. Office Operations & Administration
• Oversee the smooth day-to-day functioning of office operations for both business verticals.
• Maintain an organized, productive, and professional work environment at all times.
• Manage office supplies, equipment, vendor relationships, and general administrative requirements.
• Ensure compliance with internal policies, processes, and operational standards.
2. Attendance & Team Management
• Maintain accurate daily attendance records for all staff across both teams.
• Monitor and track punctuality, leave requests, and absenteeism with diligence.
• Follow up promptly with employees in the event of unplanned absences, including direct calls when necessary.
• Maintain and update leave records, late arrivals, and early departures in the office register or HR system.
• Report attendance irregularities and patterns to the Director on a timely basis.
3. Project Coordination & Progress Tracking
• Monitor the progress of ongoing web, mobile, and digital marketing projects on a daily basis.
• Maintain a clear, updated tracker of project timelines, milestones, and delivery schedules.
• Proactively identify delays or bottlenecks in project flow and escalate to the Director as required.
• Coordinate with the development and design teams to keep projects on track and push for timely delivery without compromising quality.
• Facilitate clear communication between team members and clients where directed by management.
4. Daily Reporting & Documentation
• Maintain comprehensive daily work logs and team activity reports.
• Prepare and circulate end-of-day or weekly summaries of work completed, pending tasks, and exceptions.
• Document all office communications, decisions, and action points accurately.
• Draft, review, and send professional internal and external emails as directed by management.
5. Team Coordination & Motivation
• Act as the primary point of contact between the team and senior management for day-to day operational matters.
• Maintain a positive, respectful, and professionally stimulating work environment.
• Address minor team concerns and grievances at the operational level with sensitivity and discretion.
• Motivate and nudge the team to meet deadlines and deliver results consistently, while maintaining a supportive and collaborative atmosphere.
