Job Description

Job Summary - We are hiring a multi-functional HR cum Office Assistant who can manage recruitment, CRM operations, client coordination, and office administration. This role is critical for ensuring smooth hiring, client servicing, and backend operational support in a security & manpower services company.


  • 🎯 Key Responsibilities
  • 🔹 HR & Recruitment
  • End-to-end hiring for security guards, supervisors, bouncers, housekeeping staff
  • Job posting on platforms like Apna, screening, and interview coordination
  • Maintaining complete employee database (joining forms, KYC, documents)
  • Onboarding, induction, and uniform/document issuance coordination
  • Attendance tracking, leave records, and payroll input support
  • Handling attrition, replacements, and urgent manpower requirements
  • 🔹 CRM & Client Coordination, Managing leads and client database using CRM tools or Excel
  • Regular follow-ups with new and existing clients
  • Maintaining records of inquiries, quotations, and conversions
  • Coordinating with operations team for deployment updates
  • Ensuring timely response to client queries and complaints
  • Preparing client reports and service updates


🔹 📄 Quotation & Documentation WorkPreparing quotations, proposals, and cost sheets as per client requirements

  • Drafting and sharing agreements, work orders, and contracts
  • Maintaining records of all client communications and approvals
  • Coordinating for agreement signing within defined timelines
  • Supporting in tender documentation (if applicable)


  • 🔹 🏢 Office Administration
  • Managing daily office operations and documentation
  • Handling calls, emails, WhatsApp communication professionally
  • Maintaining files, registers, and digital records
  • Coordinating with field officers and supervisors for updates
  • Vendor coordination (uniforms, ID cards, etc.)


  • 🔹 📊 Reporting & MISPreparing daily/weekly/monthly reports:
  • Recruitment status
  • Deployment reports
  • Attendance & manpower reports


  • Maintaining MIS in Excel or CRM
  • Tracking client billing inputs and sharing with accounts team
  • 🧠 Required SkillsKnowledge of HR recruitment & manpower hiring
  • Basic understanding of CRM tools / lead management systems
  • Strong skills in MS Excel, Word, email drafting
  • Ability to prepare professional quotations & proposals
  • Good communication skills (Hindi + basic English)
  • Multitasking & coordination skills


  • 🎓 QualificationGraduate (BBA / B.Com / Any stream)
  • HR/Admin experience preferred
  • Experience in security/manpower industry is a strong advantage
  • 💼 Additional RequirementsMust be comfortable with field coordination when required
  • Ability to handle pressure and urgent hiring requirements
