Job Description

Key Responsibilities1. Customer Communication & Follow-Up

  • Provide daily updates to customers regarding order status and production progress.
  • Communicate sampling status, approvals, comments, and pending requirements.
  • Share courier dispatch details for samples and documents.
  • Update customers on finished goods dispatch schedules and shipment details.
  • Coordinate with customers to ensure timely responses and approvals.

2. Order Management

  • Handle day-to-day customer correspondence through email, phone, and messaging platforms.
  • Maintain accurate records of all customer orders and requirements.
  • Track order milestones from sampling to final shipment.
  • Follow up internally with production, planning, quality, and dispatch teams for status updates.

3. Sampling Coordination

  • Maintain records of all sample requests received from buyers.
  • Coordinate sample development with relevant departments.
  • Track sample submissions, approvals, rejections, and buyer comments.
  • Ensure timely dispatch of samples as per customer requirements.

4. Documentation & Filing

  • Maintain systematic filing of:
  • Buyer inquiries and requirements
  • Sample requests and submissions
  • Order confirmations
  • Approval records
  • Courier receipts and dispatch documents
  • Customer communications and correspondence
  • Keep both physical and digital records updated and organized.

5. TNA (Time & Action) Management

  • Prepare and maintain TNA for every order.
  • Monitor all critical activities against planned timelines.
  • Follow up with concerned departments to ensure deadlines are met.
  • Highlight delays and potential risks to senior management.
  • Update TNA regularly and share progress reports.

6. Reporting & MIS

  • Prepare daily order status reports.
  • Maintain sampling trackers and dispatch trackers.
  • Update management on pending approvals, critical orders, and customer requirements.
  • Generate reports related to order progress and delivery commitments.
  • Required SkillsGood communication and email drafting skills.
  • Strong follow-up and coordination abilities.
  • Proficiency in MS Excel, Word, and Outlook.
  • Good organizational and filing skills.
  • Attention to detail and ability to handle multiple orders simultaneously.
  • Basic understanding of garment/textile merchandising processes.
