ROLE DESCRIPTION & OBJECTIVES
To maintain and enhance the
organization's human resources by planning, implementing, and evaluating
employee relations and human resources policies, programs, and practices.
·
Maintains management guidelines
by preparing, updating, and recommending human resource policies and procedures.
·
Completes human resource
operational requirements by scheduling and assigning employees; following up
on work results.
·
Maintains human resource staff
job results by counseling and disciplining employees; planning, monitoring,
and appraising job results.
·
Ensures legal compliance by
monitoring and implementing applicable legal requirements; conducting
investigations; maintaining records; representing the organization at
hearings.
OVERALL RESPONSIBILITIES
[1.] Recruitment
& Selection
Job
Vacancy & Job Description
·
Receive update of job
vacancy from Director Verbally or through E-Mail.
·
Review and finalize the
job description of open position as per the guidance of management.
·
If the position is new
than create new job description as per the guidance of management &
finalize with inputs from management.
Pre-sourcing
activities
·
As per the guidance of
management, prepare the details of job vacancy that is appropriate for
newspaper advertisement or job post on job portal or candidate search on job
portal.
·
Coordinate with newspaper
vendor / job portal vendor / recruitment consultancy / other institutes for
publishing the job advertisement or job post respectively.
·
Accomplish all the
paperwork and contract required with newspaper agency/job portal vendor/recruitment
consultancy / other institutes as directed by management.
Sourcing
·
Receive all the
applications and resumes from newspaper advertisement / job posting responses
/ recruitment consultancy / other institutes and save in specified folder as
per data management catalogue.
·
Update the recruitment
tracker with all the resumes received.
Screening
·
Screen all the resumes
received on the basis of job description and other criterias and mention the
reason for rejection in recruitment tracker.
·
Submit shortlisted
resumes to management for final screening and update the tracker after final
screening. Also, submit rejected resumes to management for review.
·
Receive final
shortlisting from management and update the recruitment tracker with
appropriate comments.
Interview scheduling
·
Conduct telephonic
interview to assess the suitability and interest level of candidate
shortlisted.
·
Update the recruitment
tracker with proper comments for profiles shortlisted and rejected after
telephonic interview.
·
Share updated tracker
with management for scheduling personal interview.
·
Schedule personal
interview as per the availability of management.
·
On the day of personal
interview, get the interview form filled up by candidate.
·
Record comments of
interviewer in recruitment tracker and update with final
shortlisting/rejection/second round of interview.
·
After the second round of
interview, record final comments of interviewer in recruitment tracker.
·
Inform candidate about
his selection or rejection.
[2.] Joining
& Induction
·
Initiate joining
formalities and provide appointment letter if all the joining documents are
received with verification with original copies.
·
Introduce new joinee with
staff and give proper induction training as per induction policy.
[3.] Attendance
Management
·
Update attendance
register by marking attendance every day.
·
Mention overtime in
attendance register if any.
·
Prepare attendance sheet
in Excel Sheet.
§ Leave
Management - Carry out leave approval process
as defined in policy and maintain the record of the same.
[4.] Payroll
Management
-
Prepare Payroll Sheet on the basis of attendance and
overtime calculation and submit to Labour Consultant
-
Receive Wage Register with calculation of PF, ESI, and
Professional tax from Labour Consultant.
-
Forward Payroll Sheet to Accounts Department for
disbursement of Salary.
-
Prepare vouchers of expenses & get it signed by
employees/workers during the payment of salary/wages.
-
Get the signature of employees/workers on Payroll Sheet
during payment of salary/wages.
-
Prepare PF / ESIC MIS Report yearly
[5.] Legal
Compliances:- To regularly update all
the registers and compliances related with Apprentice Act, Bonus Act, Minimum
Wages Act, PF Act, ESIC Act, Gratuity Act, Equal Remuneration , Factory Act, Contract Act
[6.] Employee
Engagement :-
-
Do Morning Prayer with all the employees and workers
-
Distribute Birthday Gift to employee/worker on his/her
birthday.
[7.] Workplace
Monitoring
-
Monitor Workshop area as well as company premises for
cleanliness, safety and security.
-
Take necessary measures for cleanliness, safety and
security of premises.
-
Health & safety – To instruct all the workers to
follow all the instruction given for health and safety, to ensure complete
execution of health and safety measures
[8.] Administration
Activity
-
Ensure efficient resolution of complaints and maintenance
related to followings:
o electricity & devices
o telephone & internet
connections
o computer and other IT hardware
& software systems
o stationary
o office security systems
o health & safety materials
& equipments
o any other services assigned by
management from time to time.

To Updated the services register time to time
-
Manage the filing, storage and security of documents
-
Respond to inquiries of vendors of HR Systems, other
computer/office equipment
[9.] External
stakeholders management
-
To coordinate with consultants (Labour Consultant,
Apprentice Consultant, HR Consultant) government officers etc. to provide
them information they need.
-
To get necessary guidance from consultants on HR Processes
and functions for smooth execution and to provide efficient feedback to them
for process improvement.
[10.] Work
Reporting, Review & Analysis
·
Prepare
Daily Working Report & send to seniors before leaving the office.
·
Participate
in weekly review meeting with seniors for work done during the week.
·
Prepare
Analysis reports Quarterly & Presentation to the Management with
suggestions and initiatives to get better results.

Management - All the files and registers to
be maintained as mentioned in Data Management Catalogue.
