As part of the Meetings Management Team, you will perform day-to-day administrative functions, support, and assist Project Managers with all various tasks related to congress and meetings activities. They ensure that all actions are managed in a timely, accurate and compliant manner.

 

As an Administrative Assistant, you will

  • Submit rooming lists into CAMS/Passkey  to ensure accurate accommodation arrangements for participants, coordinating and verifying all details
  • Open congresses in CAMS (Congress and Meeting System), entering event information and managing updates throughout the congress lifecycle
  • Prepare welcome letters and confirmation letter tailored for each Congress  ensuring consistent communication and professional presentation
  • Manage congress-related email communication via CAMS/Passkey, including reminders, and follow-ups
  • Provide reconciliation support by assisting with expense tracking, invoice processing, and financial reporting related to congress activities
  • Maintain and update various Excel lists to track tasks, suppliers, and budgets, ensuring stakeholders remain up to date with accurate information
  • Support various excel list to keep them a jour (e.g. Broker list)
  • Open Projects in Qondor and keep it updated with correct figures 
  • Support PM’s collecting supplier invoices and credit notes send it to VIM/Accounting 
  • Support PM’s whit inquires from accounting (e.g. missing invoice for a cc payment) 

 

About you

  • You have prior experience in an administrative assistant related position
  • Proficient in Microsoft Office, especially Excel
  • Ability to work in a fast paced and changing environment
  • Organizational skills, accuracy, and attention to details
  • Good command of English, strong communication skills. German language skills are a plus
  • Travel Industry experience is preferred but not required
