ABOUT THE ROLE

We are looking for a hands-on, organised, and accountable Inventory Manager to run our Bhiwandi (Temghar) warehouse operations end-to-end. You will own everything that moves in and out of the warehouse — inward goods, outward dispatches, GRN, stock audits, RTOs, parcel bookings, and helper coordination. You will work closely with the inventory manager at our other location to maintain transparency, accurate stock levels, and smooth multi-location operations. This is a high-ownership, ground-level operations role — your accuracy directly impacts the company's sales, customer satisfaction, and bottom line.


KEY RESPONSIBILITIES

1. Inward (Goods Receiving) & GRN


Receive all incoming goods from vendors, suppliers, and inter-location transfers.

Physically verify every consignment — quantity, dimensions, condition, packaging.

Match received goods with vendor invoices, purchase orders, and delivery challans.

Prepare and update Goods Received Notes (GRN) for every inward — no GRN, no acceptance.

Flag and report shortages, damages, or wrong items to the vendor and management immediately.

Coordinate with the accounts team for vendor invoice processing.


2. Outward (Dispatch) & Parcel Booking


Pick, pack, and dispatch orders accurately as per pick-lists / order sheets.

Coordinate parcel bookings with logistics partners (Delhivery, BlueDart, Ecom Express, India Post, local couriers, or any other onboarded courier).

Generate shipping labels, manifests, and tracking IDs for every order.

Hand over packages to courier partners on time daily — no delays.

Ensure correct packaging (size, padding, sealing) to prevent damage in transit.

Maintain dispatch register / log with date, AWB number, courier, destination.


3. RTO (Return to Origin) Management


Receive and inspect all RTO (returned) parcels.

Verify product condition — saleable, damaged, or defective.

Restock saleable items back into inventory with correct entry.

Segregate damaged or non-saleable items; report to management for write-off / claim.

Track RTO percentage and identify recurring causes (wrong address, customer refusal, courier issue) and flag to the e-commerce team.


4. Stock & SKU Management


Maintain accurate SKU-level inventory records — system stock must always match physical stock.

Organise the warehouse with proper bin/location/rack codes for every SKU.

Follow FIFO (First In, First Out) discipline for stock movement, especially for date-sensitive items.

Allocate optimal storage locations based on SKU velocity (fast-moving close to dispatch area, slow-moving further inside).

Maintain minimum stock levels and reorder triggers; flag low stock to management and the procurement team.


5. Stock Audits & Reconciliation


Conduct daily cycle counts on a rotational SKU basis — at least 10–20 SKUs per day.

Conduct weekly stock audits for fast-moving and high-value items.

Conduct monthly full physical stock audit at the warehouse.

Reconcile physical stock vs system stock — investigate and resolve every discrepancy with documentation.

Maintain a stock discrepancy register and submit to management monthly.

Lead the year-end stock take (31st March) with proper documentation for the auditor.


6. E-commerce Inventory Sync


Coordinate with the e-commerce team for accurate inventory updates across Amazon, Flipkart, Meesho, and Shopify.

Avoid overselling and stock-outs by sharing real-time stock levels daily.

Plan FBA / F-Assured / Flipkart Smart inventory shipments in coordination with the e-commerce team.

Flag fast-moving and slow-moving SKUs to the e-commerce team for pricing / promotion decisions.


7. Cross-Location Coordination


Coordinate daily with the inventory manager at the other location.

Maintain full transparency in stock movement and transfers between locations.

Process inter-location stock transfers with proper documentation (challans, transfer notes).

Sync on combined stock position, fast/slow movers, and any cross-location requirements.


8. Helper / Team Coordination


Supervise and assign daily tasks to the warehouse helper(s).

Train them in correct picking, packing, GRN, and dispatch processes.

Ensure helpers follow safety protocols and warehouse discipline.

Monitor productivity and quality of work; correct issues on the spot.


9. Damaged / Defective Stock Handling


Segregate damaged, defective, expired, or non-saleable stock in a clearly marked area.

Document with photos and notes; report to management for decision (return to vendor, write-off, scrap).

Maintain a damaged stock register.

Coordinate insurance / vendor claims where applicable.


10. Documentation & Reporting


Maintain organised records of every GRN, dispatch challan, e-way bill, delivery proof, and RTO entry.

Submit a daily stock & dispatch report to management — orders dispatched, pending, RTO received, inward received, stock issues.

Submit a weekly stock status report — closing stock per major SKU, fast/slow movers, ageing inventory.

Maintain proper documentation for GST / e-way bill compliance — no dispatch without compliant paperwork.

Keep all documentation audit-ready at all times.


11. Warehouse Operations & Safety


Maintain warehouse cleanliness, organisation, and safety standards at all times.

Ensure security of stock — control access, monitor movement, no unauthorised entry.

Manage warehouse supplies — packing material, tape, labels, boxes — and reorder before running out.

Report any safety hazards, theft attempts, or security concerns to management immediately.



WHAT WE EXPECT

You own the warehouse. If stock is wrong, lost, damaged, or oversold — it is your responsibility.


Accurate — your stock numbers must always be trustworthy. One wrong count = customer complaint, refund, or revenue loss.

Organised — every SKU has a place; every document is filed; every dispatch is tracked.

Honest — full transparency in stock, dispatches, RTOs, and write-offs. No personal use of company stock; any breach = immediate termination.

Proactive — you don't wait to be told. Flag low stock, slow movers, damages, and risks before they become problems.

Disciplined — daily cycle counts, daily dispatches, daily reports — without fail.

Communicative — coordinate clearly with the helper, the other-location manager, the e-commerce team, and management.

Responsible — accountable for the helper's work. Train, supervise, and correct.



REQUIRED QUALIFICATIONS & SKILLS

Education & Experience


10+2 / Graduate in any stream.

Minimum 2 years of hands-on experience in warehouse / inventory management. E-commerce warehouse experience strongly preferred.


Technical Skills


Working knowledge of inventory management software / ERP / Excel.

Comfortable creating GRNs, dispatch challans, and stock reports.

Familiarity with courier portals (Delhivery, BlueDart, Ecom Express, Shiprocket, etc.) for parcel booking and tracking.

Basic understanding of GST invoicing and e-way bills.


Soft Skills


Strong attention to detail.

Ability to work physically — moving, lifting, organising goods.

Good communication in Hindi and Marathi; basic English.

Ability to supervise helpers and maintain discipline.

Ownership mindset — closes loops, doesn't drop tasks.



GOOD TO HAVE


Experience in home decor, furnishing, lifestyle, or gifting categories.

Experience handling Amazon FBA / Flipkart Smart inventory shipments.

Experience with multi-location warehouse operations.

Knowledge of barcode systems and scanning.



KEY PERFORMANCE INDICATORS (KPIs)


Stock accuracy — target: 98%+ system vs physical match.

Dispatch SLA — target: 100% orders dispatched within SLA (no late dispatch penalty from platforms).

RTO management — RTO reverse-entry within 24 hours of receipt.

Audit discrepancies — minimise month-on-month; zero unexplained shortages.

Daily / weekly reports — submitted on time, every time.

Helper productivity & training — measurable improvement quarter-on-quarter.



TERMS & CONDITIONS


Working Hours: 10:00 AM to 7:00 PM, with 45-minute lunch break.

Paid Leaves: 4 days per month on rotational basis. No carry-forward. Apply in advance except in emergencies.

Probation: As per company policy.

Notice Period: 1 month written notice from either side post-probation.

Confidentiality: All stock data, vendor information, customer addresses, pricing, and internal communication strictly confidential.

Stock Accountability: Full responsibility for warehouse stock. Any shortage, theft, or misuse will be investigated and may attract recovery / legal action.

Handover: Complete physical stock count, document handover, and reconciliation mandatory before relieving.
