Job Summary
The Executive Assistant – HR & Administration will provide high-level administrative support to senior leadership while also managing core HR functions. This role requires strong organizational skills, confidentiality, and the ability to handle both executive coordination and people-related processes.
Key Responsibilities
A. Executive Assistant Responsibilities
- Coordinate internal and external meetings, travel arrangements, and events
- Prepare reports, presentations, and MIS documentation
- Handle confidential correspondence, emails, and communication on behalf of executives
- Maintain records, files, and documentation (physical & digital)
- Follow up on key action points and deadlines
B. HR Responsibilities
1. Recruitment & Onboarding
- Coordinate hiring process (job postings, screening, interview scheduling)
- Communicate with candidates and maintain recruitment tracker
- Manage onboarding formalities and documentation
2. Employee Records & Compliance
- Maintain employee files, contracts, and HR database
- Ensure statutory compliance and documentation (as applicable)
- Track attendance, leaves, and employee data
3. Payroll & Coordination
- Assist in payroll data preparation (attendance, leaves, reimbursements)
- Coordinate with accounts/payroll team
4. HR Policies & Processes
- Assist in implementation of HR policies
- Ensure adherence to company policies and procedures
Skills & Competencies
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- High level of confidentiality and integrity
- Proficiency in MS Office (Excel, Word, PowerPoint)
- Basic understanding of HR processes and labor laws
- Ability to work independently and handle pressure
Qualifications
- Bachelor’s degree in Business Administration / HR / Commerce or related field
- MBA (HR) or relevant certification preferred
Experience
- 5+ years of experience in Executive Assistant / HR / Admin roles

- Professional demeanor and interpersonal skills
- Strong follow-up and coordination ability
- Flexibility and adaptability in a dynamic work environment
