Job Description
- Prepare and process monthly salary sheets, wage sheets, deductions, bonus, overtime, leave adjustments, and full & final settlements.
- Generate and pay PF, ESIC, Professional Tax, Labour Welfare Fund, and other statutory challans on time.
- Maintain statutory registers such as muster roll, wage register, deduction register, overtime register, leave register, advance register, and other labour compliance records.
- Handle UAN generation, ESIC registration, KYC updates, employee nominations, and statutory benefit records.
- Ensure compliance with EPF, ESIC, Professional Tax, Bonus Act, Gratuity Act, Minimum Wages Act, Contract Labour Act, Shops & Establishment Act, and other applicable labour laws.
- HR Operations Maintain employee master data, HR database, employee personal files, and joining documents.
- Manage on boarding, document collection, ID card creation, induction, bank details, and joining formalities.
- Maintain attendance, leave, overtime, absenteeism, and site-wise manpower records.
- Handle exit formalities including handover, full & final settlement, relieving letters, experience letters, and exit interviews.
- Prepare and maintain HR documents such as offer letters, appointment letters, increment letters, warning letters, show-cause notices, and other employee communication.
- Contractor & Site Compliance Verify contractor compliance documents including labour licence, PF/ESIC challans, wage registers, attendance records, WC policy, and statutory documents.
- Maintain site-wise compliance files and ensure documents are available during client audits and government inspections.
- Coordinate with contractors, site supervisors, consultants, auditors, and client compliance teams.
- Support labour licence application, renewal, amendment, and closure formalities wherever required.
- Employee Relations & Reporting Address employee queries related to salary, attendance, PF, ESIC, leave, and statutory benefits.
- Guide employees for PF withdrawal, transfer, KYC update, ESIC benefits, and other welfare schemes.
- Prepare monthly HR MIS reports including manpower strength, salary cost, attendance summary, joining, exits, attrition, and compliance status.
- Maintain proper physical and digital filing of HR, payroll, and compliance documents.
- Required SkillsGood knowledge of payroll processing and statutory compliance.
- Practical working knowledge of PF, ESIC, Professional Tax, Minimum Wages, Bonus, Gratuity, and Contract Labour compliance.
- Ability to manage PF and ESIC portals.
- Good knowledge of MS Excel, Word, email drafting, and documentation.
- Strong coordination and follow-up skills.
- Good communication skills in Gujarati, Hindi, and basic English.
- Ability to maintain confidentiality of salary and employee records.
- Detail-oriented and responsible approach towards compliance deadlines.
- Qualification Graduate in any discipline.
- MBA HR, MSW, MHRM, BBA HR, or relevant HR/compliance qualification will be preferred.
- Practical experience in payroll and labour compliance will be given preference.
