2. Scheduling & Calendar Management. Manage the executive’s daily schedule, appointments, and meetings. Prioritize meetings and coordinate with internal and external stakeholders. Organize travel plans, itineraries, accommodation, and logistics
3. Communication & Liaison Act as the first point of contact between the executive and others. Handle phone calls, messages, and emails with professionalism. Communicate instructions and decisions of the executive accurately. Coordinate with departments, clients, vendors, and authorities
4. Meeting & Documentation Support. Prepare agendas, minutes of meetings (MoM), and follow-up actions. Arrange board meetings, client meetings, and official gatherings. Ensure timely circulation of documents and reports
5. Confidentiality & Discretion. Handle sensitive information with strict confidentiality. Maintain discretion in all professional dealings. Safeguard executive and organizational information
6. Office Coordination & SupervisionMonitor office workflow related to the executive’s functions. Coordinate with reception, accounts, HR, and operations teams. Track deadlines, approvals, and pending actions
7. Financial & Record Assistance. Assist in preparing expense statements and reimbursement claims. Maintain records of bills, invoices, and official expenses. Coordinate with accounts department for payments and approvals
8. Compliance & Follow-ups.Track statutory filings, contracts, and compliance-related timelines. Follow up on instructions, tasks, and commitments made by the executive. Maintain checklists and reminders for important deliverables
9. Personal Assistance (if applicable)Assist with personal scheduling related to official commitments. Handle confidential personal correspondence as authorized
10. Skill & Competency Requirements Excellent communication skills (written & verbal). Strong organizational and time-management abilities. Proficiency in MS Office, email, and documentation tools. Ability to work independently and under pressure
