Job Description
• Greet, assist and/or direct visitors to the appropriate staff member and, welcome guests as soon as they arrive at the office. • Direct visitors to appropriate person. • Answer, screen and forward incoming phone calls, handle caller’s inquiries whenever possible. • Receive, direct telephone calls and convey telephone messages to the person concerned. • Ensure reception area and office premise is neat and tidy at all times with all necessary stationery and material (e.g. pens, forms and brochures) readily available. • Provide basic and accurate information in-person and via phone/email. • Receive, sort and distribute daily mail/deliveries. • Maintain office security by following safety procedures and controlling access via the reception desk, manage incoming & outgoing courier and Assets like computer, pen drives printer, mobile and SIM card, maintain visitor logbook, etc. • Keeping a record of all incoming and outgoing courier, tracking the same on a day to day basis and maintaining accurate records. • Arrange travel and accommodations, if and when required. • To provide office support services in order to ensure smooth functioning of all departments. • Assist in the planning and preparation of meetings, conferences and conference telephone calls. • Assist the manager in lining up of candidates for interview and coordinate with the H.O. for feedback submission and documentation. • Maintain the employee attendance muster and keep a track of leave, overtime, etc. • Coordinate the repair and maintenance of office and equipments like AC, biometric machine, telephone connection, pest control, etc. • Perform other clerical duties such as filing, photocopying, scanning, printing and collating. • Arrange for office boy as and when required, for running general errands. • Get the visiting/ID card printed for employees, as and when required. • Coordinate with the telecom service providers for new/lost sim card • Sending birthday emails to internal staff. • Any other work as assigned by the management team from time to time.
