Job Description:

As a Specialist - Design Workflow at JLL, you will be responsible for executing and optimizing design processes, ensuring seamless collaboration, and delivering exceptional client experiences. You will be the go-to person for operational support on Workfront and will be actively involved in project coordination, stakeholder management, and resource allocation. With your strong communication skills and commercial mindset, you will play a vital role in meeting business goals and driving success within the JBS Pursuits design team.

Coordination and Collaboration

• Create project-specific MS Teams groups within a TAT (Turnaround Time) of 2 hours to enable swift coordination between stakeholders and designers.
• Streamline processes and optimize workflows to enhance collaboration on Workfront.
• Foster day-to-day relationships, build trust, and deliver an exceptional client experience.

Project Management

• Manage project timelines and prioritize tasks, ensuring projects are executed and delivered within agreed-upon timelines.
• Track deadlines, negotiate with stakeholders, and handle prioritization effectively.
• Monitor team availability and capacity, understanding the status of each project.
• Help organise team learning and development sessions with APAC Pursuits Design Lead

Reporting and Communication

• Work closely with stakeholders to understand their design requirements and objectives, provide regular updates to the stakeholders, ensuring effective communication and collaboration throughout the design and workflow process
• Managing operations requires visibility into the overall workflow across the teams. Generate weekly reports of upcoming projects in the pipeline, sharing them with stakeholders at the start of each week
• Offer strategic recommendations based on a comprehensive understanding of business goals in the monthly & quarterly reports.
• Sending feedback forms to stakeholders upon completion of projects, and analysing the feedbacks quarterly and sharing the findings with the APAC Pursuits Design Lead for improvements and suggestions

Stakeholder Management

• Act as the first point of contact for operational requirements related to Workfront.
• Troubleshoot and find workaround solutions, ensuring effective communication with stakeholders.
• Protect the design team's workload by managing competing requests for design time.

Relationship Building

• Nurture client-facing relationships with in-country Pursuit Leads, understanding their expectations and needs.
• Proactively engage in monthly catch-ups to offer insights, strengthen partnerships, and identify opportunities for improvement.

• Bachelor's degree in a relevant field.
• Previous experience in a similar role, with expertise in workflow coordination and operational support.
• Proficiency in Microsoft Suite, including Word, Excel, and PowerPoint.
• Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines.
• Excellent written and verbal communication skills, with the ability to deliver clear and concise messages.
• Strong stakeholder management and problem-solving skills.
• Commercial mindset and strong business understanding to allocate resources strategically.
• Ability to build and maintain professional relationships with clients and internal stakeholders.
• Understanding of design process and previous working experience with designers is a plus
