Job Summary:

We are seeking a dedicated and client-focused Clinic Manager / Client Coordinator to manage the daily operations of our clinic, ensure exceptional client care, and drive operational efficiency. The ideal candidate will oversee staff, manage client relationships, and uphold the highest standards of service and compliance. This role is critical in ensuring the clinic’s reputation for excellence and fostering its growth.

Key Responsibilities:

Clinic Operations Management:

• Oversee daily operations to ensure seamless functioning of the clinic.
• Implement and maintain standard operating procedures to optimize workflows.
• Monitor operational performance and identify areas for improvement.
• Ensure high standards of cleanliness, hygiene, and safety.

Client Coordination and Relationship Management:

• Serve as the primary point of contact for client inquiries, appointments, and follow-ups.
• Address client concerns professionally and promptly to maintain satisfaction.
• Implement strategies to enhance the overall client experience and retention.
• Maintain and manage the client database with accuracy and confidentiality.

Staff Coordination and Support:

• Work closely with clinic staff, including therapists, support staff, and housekeeping.
• Ensure team adherence to clinic protocols and professional standards.
• Work on staff schedules, attendance, and leave requests to ensure operational continuity.
• Provide ongoing support and motivation to foster a cohesive team environment.

Lead and Sales Management:

• Monitor and track leads to ensure timely follow-ups and conversion.
• Collaborate with the marketing team to optimize lead generation efforts.
• Develop and implement strategies to enhance lead-to-client conversion rates.
• Prepare regular performance reports and suggest improvements.

Financial Oversight:

• Track clinic budgets, expenses, and optimize operational costs.
• Assist in preparing financial reports and analyzing clinic performance.

Strategic Contributions:

• Identify opportunities for service improvement and clinic growth.
• Stay updated on industry trends and advancements in aesthetic treatments to ensure the clinic remains competitive.

Qualifications and Skills:

• Any degree, preferred degree in Business Administration, Healthcare Management, or a related field.
• Prior experience in cosmetic dermatology clinic
• Exceptional communication and client management skills.
• Strong organizational and problem-solving abilities.
• Proficiency in Microsoft Office Suite and clinic management software.
• Ability to multitask and work under pressure in a fast-paced environment.
• A client-focused attitude with a commitment to excellence.
