job description: 1. Joining formalities: 2. Maintenance of registers 3. Letters and notices: To be issued in the existing formats. 4. Statutory documents: 5. Exit formalities: 1. Joining formalities: a. Check the resume for the interview process and the comments of the HR executive and the concerned Team Leader or the Process Head. b. Verify the documents submitted with the originals of the candidate and sign the copies mentioning OSV. c. Collect the Original Certificate and verify the authenticity. d. Provide the joining kit to the candidate and guide in filling up the same. Obtain the Location Share of the address proof submitted.The Bank account details have also to be collected. e. The candidate should be informed that the selection is subject to BG verification report. f. Get the filled up documents checked by the HR and take their signature and present to Admin. for final clearance. g. After the clearance from the Admin. scan the documents and send one copy to VICPL for BG verification and one copy to digital store. h. On completion of joining formalities release the Temp. ID Card and inform in mail to all concerned that the candidate is selected subject to the final report of BG Verification. i. The BG verification report has to be collected from the VICPL report team and confirmed to all concerned to regularize the selection. j. On completion of the regularization, creation of the Biometric attendance access and mail id creation if required by informing the IT team. 2. Maintenance of registers:- a. Stationary register. b. Bills register for courier, and other bill c. Bank Accounts. d. ID cards. e. Leave register. f. Original document register. 3. Letters and notices: To be issued in the existing formats. a. Show Cause notice. b. 1st Warning Letter c. Final warning Letter. d. Appraisal Letter. e. Termination Letter. f. Motivation letters. g. Inter Departmental transfer memos. h. Rejoining letters. i. Relieving letters. 4. Statutory documents: a. Employee ESI card /letters. b. Employee PF details. c. Employee Bank account details. d. Employee pay slips. 5. Exit formalities: a. Check the resignation letter / termination letter to know the correctness and check for approval / recommendation. b. Take clearance from all the departments that there are no pending issues from their departments. c. Take the clearance from the finance department that no dues are pending. d. Take no due certificate from the employee. e. Put up for approval of the Admin. and on approval the candidate can be exited. f. Hand over the original by taking the acknowledgement on the Xerox copy of the original that the original is received by the candidate g. Intimate all concerned that the candidate is exited and is not on rolls any more. 6. Any other Admin. work depending on the requirement.
