HR & Background Verification (BGV) Operations Specialist

Job Summary
Synechron is seeking an experienced BGV HR professional to oversee and govern the end-to-end Background Verification (BGV) processes across multiple regions and stakeholders. This critical role involves managing high-volume, high-risk BGV operations, providing strategic guidance, ensuring compliance with legal and contractual standards, and leading a team of BGV analysts. The incumbent will work closely with HR, Recruitment, Legal, and Audit teams to uphold data privacy, reduce risk, and optimize verification workflows, thereby supporting the organization’s talent acquisition and risk management objectives.

Software Requirements

  • Required:

    • HRMS and Background Verification platforms (e.g., Karvy, HireRight, First Advantage, or equivalent)

    • Document management and workflow tools (e.g., SharePoint, ServiceNow)

    • Data management tools (Excel, SQL queries) for reporting and analysis

    • Incident and case management tools such as ServiceNow or JIRA for tracking escalations and audit trails

  • Preferred:

    • HR analytics and reporting tools (Power BI, Tableau)

    • Automation and workflow scripting (PowerShell, VBA)

    • Data privacy compliance tools (OneTrust, TrustArc)

Overall Responsibilities

  • Own and govern the complete BGV lifecycle, ensuring adherence to internal policies, SOPs, legal requirements, and client-specific standards.

  • Provide strategic leadership and mentorship to BGV teams, including Senior Associates and Associates, fostering a culture of ownership, accuracy, and continuous improvement.

  • Serve as the final review authority for complex high-risk, high-volume, or exception cases, making risk-based decisions collaboratively with HR and leadership.

  • Manage relationships with external vendors, monitor SLAs, service quality, and cost efficiencies.

  • Ensure timely, compliant, and accurate completion of background checks including employment, education, criminal, address, credit, sanctions, and client-specific verifications.

  • Lead audit readiness activities, provide documentation evidence, and participate in internal/external audits.

  • Regularly review and update BGV SOPs, policies, and compliance frameworks in response to regulatory changes and client requirements.

  • Define and monitor KPIs, SLA adherence, risk trends, process efficiencies, and vendor performance metrics.

  • Drive process improvements, automation initiatives, and integration of new verification methods to enhance operational performance.

Technical Skills (By Category)

  • Support & Process Management (Essential):

    • Experience with BGV platforms and workflows, including handling complex cases and high-volume processing

    • SQL proficiency for data retrieval, validation, and reporting

    • Incident management and tracking through ServiceNow, JIRA, or similar tools

  • Compliance & Data Privacy (Essential):

    • Deep understanding of legal/data compliance standards (e.g., GDPR, India Data Protection Act, client-specific mandates)

  • Vendor & Stakeholder Management (Essential):

    • Strong vendor negotiation, SLA management, and performance review skills

Experience Requirements

  • Minimum of 8+ years of experience in Background Verification, HR Operations, Risk, or Compliance roles, with leadership exposure.

  • Proven experience managing high-volume and high-risk BGV operations in a global or multi-region setting.

  • Strong understanding of verification processes, policies, escalation matrices, and audit frameworks.

  • Demonstrated success in leading teams to improve process efficiency and compliance metrics.

  • Industry experience in banking, financial services, or regulated sectors preferred.

  • Alternative: Extensive experience supporting large-scale HR or compliance operations with a focus on verification processes.

Day-to-Day Activities

  • Oversee daily BGV operations, monitor case status, and ensure timely turnaround.

  • Review complex or escalated cases, assess risks, and authorize exceptions with proper documentation.

  • Collaborate with vendors and internal teams, including HR and Legal, to resolve issues promptly.

  • Conduct regular team meetings, performance reviews, and training to ensure continued excellence.

  • Manage SLA adherence, generate reports, and analyze risk trends to inform process improvements.

  • Lead audits, compile documentation, and implement corrective actions for compliance breaches.

  • Drive automation initiatives, optimize workflows, and update SOPs to support operational excellence.

  • Facilitate stakeholder communication regarding process updates, risks, and efficiencies.

Qualifications

  • Bachelor’s or Master’s degree in Human Resources, Business Administration, Law, or a related discipline.

  • Extensive experience (8+ years) in BGV, HR operations, or compliance functions, with leadership responsibility.

  • Strong knowledge of background check processes, policies, and compliance standards.

  • Proficiency with BGV platforms, incident management tools, and data analysis tools.

  • Ability to interpret complex policies and regulatory frameworks and translate them into operational procedures.

  • Demonstrated ability to lead teams in high-pressure, high-risk environments.
