Job Description

Account Assistant Order Procurement Get order from Sales Team / ASM Check previous 3 Sales Invoice of Distributor Check Pending Dues and if any outstanding then follow up with ASM & Distributor. Any pending dues must be communicated by email and approval must be taken from Accountant or Management. Check and Remember Inventory Communicate and push alternate product Verify order with Distributor Provide change in scheme information to Distributor Ask Sales Team & Distributor for POP material and Samples Order Processing Prepare Invoice Check with ASM for any pending Credit/Debit Notes Communicate with Warehouse and ensure timely processing at Warehouse Communicate any delay in order with Sales Team / ASM & Distributor Ensure that appropriate POP material and Samples are sent along with order Return Processing – Authorization, Stock Check, Credit Note, Communication Order Delivery Select best Transporter for Dispatch Input Dispatch detail in Tally Track the Delivery and Notify Distributor Input goods delivery date in Tally Prepare Transportation Cost Sheet File Scanned Delivery documents in Folder (Soft Copy on G-Drive) Order Payment Follow up on Payments by WhatsApp, Email AND Phone Calls Distributor Payment Reconciliation Keep track of Due dates & PDC Input and Maintain Avoden state wise monthly collection tracker Any delay in payment to be communicated by email or Whatsapp MSG Convert Distributor to Cash Discount Sales Optimisation Collect Stock & Secondary Statements Input data in Access Database Check for Inactive Customers Collect Retailer data from Distributor (all stores where Distributor delivers) Input and Maintain Sales Tracker data Educate and inform new employee about Distributor history Get Distributor feedback on our Sales Team Conference call with ASM & Distributor minimum once a month Greeting Calls/WhatsApp to Distributors on Festival, Birthday & Anniversary Miscellaneous Work Petty Cash Entry/Warehouse and Office Entry Monitor & Tally Stock Inventory Prepare various Sales Reports as required Prepare Avoden location and month wise product tracker Input ASM Weekly Report Input YOY Geo Location wise Primary Sales comparison report All above task also to be carried out for our CSA
