Accountant

The Accounts cum Purchaser role is a hybrid position often found in small to medium-sized enterprises (SMEs) where efficiency is key. You’re essentially the "gatekeeper" of the company’s cash flow—you decide what comes in, how much it costs, and ensure everyone gets paid on time.

Here is a breakdown of the core responsibilities divided by function:

1. Procurement (Purchasing) Responsibilities

Your goal here is to get the best value for the company’s money without sacrificing quality.

 * Sourcing & Vendor Management: Identifying reliable suppliers, requesting quotes (RFQs), and maintaining a database of approved vendors.

 * Price Negotiation: Haggling (professionally, of course) to secure better credit terms, discounts, or bulk pricing.

 * Purchase Orders (PO): Generating official POs based on internal requisitions and ensuring they match the budget.

 * Inventory Control: Monitoring stock levels to avoid "dead stock" (money sitting on shelves) or shortages that halt operations.

 * Quality Assurance: Coordinating with the warehouse or team to ensure the goods received match what was ordered.

2. Accounting & Finance Responsibilities

Once the goods arrive, you switch hats to ensure the paperwork and payments are flawless.

 * Accounts Payable (AP): Verifying "The Three-Way Match"—making sure the Purchase Order, Delivery Note, and Supplier Invoice all align before processing payment.

 * Expense Tracking: Recording daily transactions, petty cash management, and categorizing business expenses.

 * Bank Reconciliation: Matching internal records against bank statements to ensure every cent is accounted for.

 * Tax Compliance: Managing GST/VAT filings and ensuring withholding taxes (if applicable) are handled correctly.

 * Financial Reporting: Assisting in the preparation of monthly Profit & Loss (P&L) statements or budget variance reports.
