Job Description
- Ensure smooth patient check-in and registration
- Maintain proper queue and waiting area discipline
- 2. Appointment ManagementSchedule, confirm, and reschedule appointments
- Handle walk-in patients and manage doctor availability
- Maintain daily appointment records
- 3. Call Handling & Follow-upsAttend all incoming calls and respond to inquiries
- Do basic counselling for hair transplant / hair treatment queries
- Follow up with missed appointments and interested leads
- 4. Coordination with Doctors & TeamCoordinate with doctors for patient flow and availability
- Inform team about patient status (arrived / delayed / no-show)
- Support clinic staff for smooth operations
- 5. Billing & Payment HandlingGenerate bills and explain packages to patients
- Handle cash, online payments, and maintain records
- Ensure proper receipt and documentation
- 6. Lead ManagementMaintain record of all leads (calls, walk-ins, references)
- Update CRM or tracking sheet daily
- Share daily report of calls, visits, and conversions
- 7. Clinic PresentationEnsure reception area is clean and organized
- Maintain hygiene and professional environment
- Display clinic services and offers properly
- 8. Documentation & ReportingMaintain patient files and consent forms
- Submit daily reports (calls, visits, revenue)
- Keep records updated and accurate
- 9. Patient Experience & ConversionBuild good rapport with patients
- Explain treatments confidently (basic level)
- Support in converting leads into consultations/procedures
- 10. Discipline & ComplianceFollow clinic rules, timings, and reporting
