Job Summary- The Office Assistant will be responsible for supporting day-to-day office operations, handling reception duties, maintaining stationery records, and assisting with document and material movement between the office and site. The role requires flexibility, reliability, and the ability to handle multiple administrative and support tasks efficiently.
- Key Responsibilities
1.Office & Administrative
- Support Handle routine office work and provide administrative support to staff
- Assist in filing, photocopying, scanning, and maintaining office documents
- Maintain cleanliness and basic organization of office areas, if required
- Support HR and Admin team in day-to-day operational activities
2 .Reception & Front Desk Duties
- Attend the reception area and greet visitors professionally
- Manage incoming and outgoing calls
- Receive couriers, parcels, and documents and hand them over to concerned departments
- Maintain visitor records and assist guests as required
3.Stationery & Inventory Management
- Maintain records of office stationery and consumables
- Issue stationery to employees as per requirement and keep proper records
- Monitor stock levels and inform the Admin/HR team for timely replenishment
- Handle ID card creation, allocation, replacement, and return records.Maintain employee ID card records and database.
4.Mail, Meetings & Interview Coordination
- Assist in sending emails related to daily meetings, interviews, and office communications.
- Support the arrangement of meeting rooms, including seating, stationery, and refreshments.
- Help coordinate interview schedules and assist HR/admin during interview days.

6.Additional Duties
- Assist with bank visits, government offices, vendors, or other official work when required
- Perform any other duties assigned by management related to office operations
- Follow company policies, safety rules, and workplace discipline
7.Site Coordination & Field Work
- Visit project sites as and when required
- Collect and submit documents to and from sites
- Transfer materials from office to site or site to office
- Coordinate with site staff for smooth document and material movement
- Ensure timely and safe delivery of documents and materials
