Job Description — Back Office Sales Executive

Company: Vamtech Energy Solutions Pvt. Ltd.

Department: Sales & Business Support


Role Overview

The Back Office Sales Executive will play a critical role in supporting the sales team

through proposal preparation, coordination, documentation, and order processing.

The role ensures smooth sales operations, timely customer response, and accurate

tracking of enquiries, quotations, and orders.


Key Responsibilities

1. Sales Coordination & Support

Assist sales team in handling customer enquiries and follow-ups

Prepare techno-commercial proposals, quotations, and tender documents

Coordinate with OEMs, vendors, and internal technical teams for inputs

Maintain enquiry-to-order tracking and update sales pipeline regularly


2. Proposal & Documentation Management

Create and manage BOQs, cost sheets, and comparison statements

Ensure accurate documentation for RFQs, tenders, and submissions

Maintain proper records of quotations, purchase orders, and contracts

Support compliance documentation and client registration processes


3. Order Processing & Execution Support

Process customer orders and coordinate with procurement and project teams

Track order status, delivery schedules, and dispatch updates

Assist in invoice preparation and submission follow-ups

Coordinate with accounts for payment tracking and collection updates


4. Customer Communication

Respond to routine customer queries and provide required information

Share technical datasheets, compliance documents, and commercial details

Schedule meetings, demos, and site visits for sales team

Maintain strong professional communication with customers and partners


5. MIS & Reporting

Maintain enquiry trackers, sales MIS, and reporting dashboards

Generate weekly/monthly sales reports and performance summaries

Support CRM updates and database management

Maintain updated customer and project database


Required Skills & Competencies

Strong communication and coordination skills

Good knowledge of MS Excel, Word, and PowerPoint

Ability to prepare quotations, BOQs, and cost comparisons

Basic understanding of electrical/automation products (preferred)

Good organizational and multitasking ability

Attention to detail and documentation accuracy


Qualification & Experience

Diploma / Bachelor’s degree (Engineering, Commerce, or Business

Administration)

1–4 years of experience in back-office sales / sales coordination

Experience in electrical, automation, or industrial solution companies is an

advantage

Willingness to learn technical aspects of energy and automation solutions
